THE OPPORTUNITY AWAITS YOU

 

The Administrative Assistant V position contributes to the smooth daily operation of Facilities by performing administrative duties and related office functions in support of the Facilities’ staff. This employee has significant computer-based responsibilities and requires the ability to work in a highly demanding work environment with many competing priorities.

 

WHAT WILL YOU DO

  • Process all Facilities invoices on a daily basis including receiving and coding invoices with the appropriate account codes, contacting suppliers as required, ensuring invoices are appropriately authorized, and forwarding them for Update Fame financial information.
  • Provide and upkeep both electronic and manual filing systems within the ORS and ARMS guidelines. Create bring forward files on an annual basis as well as retention schedules.
  • Support facilities’ staff relating to P-Card transactions, Atrieve System, and Oracle and support staff with FOB issuance and support.
  • Field numerous inquiries from the public and contractors and schools relating to our facilities and direct towards the appropriate manager for actionable items. Process user permits each month including issuing keys, accepting key deposits and ensure monthly billing requests are sent to accounting.
  • Provide project support including preparation of newspaper advertisements and tender submissions for posting.
  • Provide administrative support for the Superintendent of Facilities and Facilities Managers. Support will include, but not be limited to, preparation of confidential correspondence and meeting minutes.
  • Arrange for staff PD days and meetings including calendar maintenance, preparation of correspondence and documentation required for meetings, and room and equipment bookings.
  • Carry out general office duties as assigned, such as providing general information by telephone, email and in-person inquiries, routing calls, and relaying messages.
  • Coordinate office functions carried out by the Administrative Assistant
  • Be knowledgeable and supportive of Regina Public Schools’ policies, procedures and expectations.
  • Promote harmonious relations among staff and members of the school community and maintain positive relationships with the various stakeholders.
  • Other duties as assigned.

WHO WE ARE LOOKING FOR

 

Apply today if you meet the following requirements:

  • Grade 12 or equivalent.
  • Post-secondary secretarial related studies or
  • Proven record of confidentiality.
  • Typing speed 60-70 wpm.
  • Advanced skills in Microsoft Office such as the ability to merge, filter and create comprehensive spreadsheets.
  • Fluency in FAME, Oracle and Atrieve a definite asset.
  • Exceptional administrative, organizational, time management and analytical skills.
  • Ability to manage tight timelines, workloads and multiple projects.
  • Ability to work independently with minimum supervision in a team environment.
  • Excellent writing, communication and interpersonal skills with attention to detail.
  • Understanding of the need for precision and accuracy in data entry, and demonstration of the ability to maintain accuracy.
  • Proven ability to interact professionally and positively with board office staff, school staff, contractors and the public.
  • Willingness to work in new areas, learn new skills and technologies.
  • Must be able to obtain and maintain a satisfactory Criminal Record Check for the duration of employment.
