The Administrative Assistant II, under the School Principal or Vice Principal, contributes to maintaining positive relations with staff, teachers, parents, guardians, and the community. This position carries out administrative assistant duties and office tasks to provide support for the Principal or Vice Principal’s office with a particular focus on maintaining accurate student data information and records.

WHAT WILL YOU DO

 

1. Provide general administrative support to the Principal or Vice Principal:

  • Answer general inquiries by phone, email, and in-person and provide information directly or route inquiries appropriately.
  • Maintain an organized school calendar and schedule.
  • Maintain an organized school staff list.
  • Assist with school keys for staff, substitute teachers, interns, etc.
  • Assist with distribution of keys, laptops, sub notes, and Edsby access to substitute teachers.
  • Maintain student locker lists and combinations.
  • Arrange and coordinate in-person and virtual meetings which include school events such as school pictures or graduation.

2. Register students and maintain student data information and records:

  • Verify documentation for registrations.
  • Enter student data in MSS for all registrations, enrollments, and withdrawals.
  • Maintain accurate student data and records for demographics, attendance, awards, suspensions, transcripts, student records, etc. in MSS and Edsby.
  • Maintain accurate student marks and transcripts including changes, corrections, new marks, and report cards.
  • Prepare registration packages for new and in school enrollments.
  • Maintain student cumulative records including requesting, receiving, recording, culling, and storing.
  • Maintain records for discontinued students.

3. Perform other duties on an as and when required basis.

 

WHO WE ARE LOOKING FOR

 

Apply today if you meet the following requirements:

  • Grade 12 or equivalent
  • Office Education Certificate from an accredited post-secondary institute, or an equivalent combination of education and related experience
  • Preferably one (1) year experience providing confidential and general administrative support
  • Experience working in the education sector is an asset
  • Experience and general familiarity in working with Microsoft Office programs and automated database systems in an administrative support role
  • Proven ability to interact professionally and positively with a wide variety of internal and external stakeholders and staff from varying backgrounds and relationships with the school division.
  • Ability to use judgement, discretion, and tact when providing information.
  • Demonstrate a strong attention to detail with skill and precision in the accuracy of verbal and written communications and data entry.
  • Effective verbal and written communication skills with the ability to convey basic information.
  • Ability to work within daily time constraints while handling frequent interruptions.
  • Fundamental technology skills, particularly Microsoft 365 applications.
  • Dependable, able to follow instructions, respond to management direction, and must be able to improve performance through management feedback.
  • Ability to work independently with minimum supervision in a team environment.
  • Demonstrate basic problem-solving skills and able to address routine issues.
