The Administrative Assistant III - Student Success (Teaching and Learning) is responsible for providing all aspects of administrative support for Superintendents to ensure the efficient and effective daily operation of Student Success. This position supports Teaching and Learning by contributing to an organized office, maintaining positive relations with staff members, schools, parents, and the community and facilitating the flow of communications and information.
WHAT WILL YOU DO
Provide general administration, organization, and file management within the Student Success - Teaching and Learning team:
- Act as a point of contact for general inquiries by phone, email, and in-person and provide information directly or route inquiries appropriately.
- Assist with preparations for meetings and other functions, including arranging food and beverages, communication with Facilities staff, loading presentations, etc.
- Format, proofread, and distribute written material including agendas, correspondence, documents, presentations, forms, and reports for the purpose of disseminating information.
- Maintain calendars and coordinate the organization of scheduled meetings.
- Develop and maintain accurate paper and electronic files and records including the input of information into spreadsheets and Division systems.
- Develop and maintain spreadsheets, collect, and organize data and information.
- Provides backup administrative support for student records.
Provide administrative support for student exemption requests.
Provide administrative support for Summer Driver Education Program and Scholarships:
- Prepare Summer Driver Education Program communications and application forms and track applicants accepted to the program.
- Process and maintain Division-wide and school-based scholarship applications and tracking data including communicating deadlines, account balances, etc.; preparing scholarship nominee packages for the scholarship committee; verifying scholarship recipients meet required criteria prior to submitting payment request; reviewing scholarship application forms annually.
Provide switchboard/reception coverage when required.
Perform other duties on an as and when required basis.
WHO WE ARE LOOKING FOR

- Grade 12 or equivalent
- Office Education Certificate from an accredited post-secondary institute, or an equivalent combination of education and related experience
- Minimum one (1) year experience providing confidential and general administrative support
- Experience working in the education sector is an asset
- Experience and demonstrated proficiency in working with Microsoft Office programs and automated database systems in an administrative support role
- Proven ability to interact professionally and positively with a wide variety of internal and external stakeholders and staff from varying backgrounds and relationships with the school division.
- Ability to use judgement, discretion, and tact when providing information.
- Demonstrate a strong attention to detail with skill and precision in the accuracy of verbal and written communications and data entry.
- Strong verbal and written communication skills with the ability to assess needs and effectively adapt and convey information based on the audience.
- Ability to work within daily time constraints and multitask while handling frequent interruptions.
- Proficient and well-developed technology skills, particularly Microsoft 365 applications.
- Must be dependable, able to follow instructions, respond to management direction, and must be able to improve performance through management feedback.
- Ability to work independently with minimum supervision in a team environment.
- Strong problem-solving skills when recommending or clarifying information with others.
